Data and purposes
We process information entered in forms: name, address, email, telephone, company and invoice details, orders, payments, correspondence and notes. Required fields are necessary for the relevant order or account service; without them we cannot provide that service. Other information is optional. Please do not include sensitive information in order notes unless necessary.
- Orders, delivery, payment and accounts: performance of a contract or pre-contractual steps — GDPR Article 6(1)(b).
- Tax, accounting and consumer obligations: legal obligation — Article 6(1)(c).
- Enquiries, security, fraud prevention and establishing, exercising or defending claims: legitimate interests — Article 6(1)(f).
- Newsletters and optional analytics or advertising: consent where required — Article 6(1)(a).
Newsletter
Subscribing is optional and is not a condition of purchase. With your consent, we use your email and selected language to send coffee tips and offer information, normally every two weeks. Unsubscribe using the link in an email or contact green@greenorigin.pl. Withdrawal does not affect earlier lawful processing or messages necessary to fulfil your order.
Recipients and external services
Necessary data are shared with our platform and hosting provider IdoSell, email and IT providers, accounting providers and the selected carrier, such as DPD or InPost. Payment information is processed by the chosen operator, such as IdoPay or PayPal, and banks. Payment providers may be independent controllers.
If you select external login, you use the chosen provider, such as Google, Facebook, LinkedIn or Apple. The permission screen explains the data shared. The shop also uses Google and Meta integrations for analytics and advertising within the scope permitted by consent. External services are also subject to their providers’ privacy notices.
Global providers may process data outside the EEA. Such transfers require a basis under GDPR Chapter V, such as an applicable adequacy decision or standard contractual clauses and necessary safeguards. Contact us for information about the relevant basis or a copy of applicable safeguards.
Retention
Order data are retained for fulfilment and statutory tax or accounting periods; records needed for claims until the applicable limitation period expires. Account data are retained until deletion, except legally required records or data needed for claims. Correspondence is retained while handling the matter and any related claims. Newsletter use ends when you withdraw consent; necessary records of consent or objection may be retained to demonstrate compliance and respect your unsubscribe request. Technical logs are retained as needed for security and diagnostics, taking provider retention into account. Cookie lifetimes appear in the table below.
Your rights
Under the GDPR you may request access, rectification, erasure, restriction and portability, and withdraw consent. You may object to legitimate-interest processing based on your particular situation; you may object to direct marketing at any time. Contact green@greenorigin.pl. You may complain to Poland’s data protection authority, UODO, or the competent authority where you live or work.
Optional advertising tools may tailor ads to activity. Such tailoring is not a decision producing legal or similarly significant effects on you.
